E@_A===OOE ===8PMCMCMCMC!!!<!!!<t4J~  Constitution UNIVERSITY OF ABERTAY DUNDEE STUDENTS' ASSOCIATION ISLAMIC SOCIETY University of Abertay Dundee Student's Association Islamic Society Constitution General 1.1 Name: The name of the society shall be University of Abertay Dundee Students' Association Islamic Society hereinafter referred to as the Society. 1.2 Definitions: The following definitions apply for the reading and interpretation of the constitution: 1.2.1 The Society: shall mean the University of Abertay Dundee Students' Association Islamic Society 1.2.2 The University: shall mean the University of Abertay Dundee 1.2.3 The Association: shall mean the Abertay University Students Association 1.2.4 The Constitution: shall refer to the constitution of the Society. 1.2.5 Member: shall be any Full, Associate or Extraordinary member. 1.2.5 The Committee: shall be the executive committee of the Society 1.3 Address: The address of the society shall be: University of Abertay Islamic Society University of Abertay Dundee Student's Association (UADSA) Abertay Student centre 1 Bell Street Dundee DD1 1ET 1.4 Affiliation: The Society shall be affiliated to the University of Abertay Dundee Student's Association. It will also have honorary affiliation with the Federation of Student Islamic Societies (FOSIS). 2. The Aims and Objectives: The aims, objectives, and the activities of the Society shall conform to the teachings and guidance of the Quran and the Sunnah. 2.1 To spread the message of Islam 2.2 To present Islamic viewpoints wherever and whenever relevant to the University. 2.3 To strengthen Islamic faith among the Muslims and to bring and guide them to the path of Allah. 2.4 To promote the spirit of brotherhood/ sisterhood among Muslims 2.5 To foster harmony and understanding between Muslims and non- Muslims. 2.6 To represent and to protect the interests, rights and general welfare of the Members. 2.7 To organise other events deemed necessary by the Committee in order to achieve the aims and objectives. 3. Membership 3.1 Membership shall be classified as Full, Associate and Extraordinary member according to the following definitions: 3.1.1 Full membership is open to any students of the University. 3.1.2 Associate membership is open to any member of the University. 3.1.3 Extraordinary membership is open to others subject to the approval of VPC of the Association. 3.2 All applicants must complete a membership form to join the Society and pay their membership fees. 3.3 The members of the Society are expected to work according to the Aims and Objectives of the Society. 3.4 Any member may have their privileges with the Society withdrawn if their conduct is unbecoming of a member of the Society. This decision may be taken by the Committee and is subject to appeal to the Committee. 3.5 All Members must ensure that the integrity and independence of the Society is preserved. 4. Subscriptions 4.1 The Society will charge its members an annual subscription as agreed upon by the Committee which must not be less than the minimum amount set by the Association 4.2 The financial year ends on Friday of Week 29 of the academic year. 5. The Committee 5.1 The Committee is responsible for the day to day running of the Society in accordance with the Aims and Objectives (clause 2). 5.1.1 All of the committee members of the Society must be matriculated members of the University and therefore members of the Association. 5.2 The Committee shall consist of: 5.2.1 President 5.2.2 Vice President for men 5.2.3 Vice President for women 5.2.4 Secretary 5.2.5 Treasurer 5.2.6 Other Executive members 5.3 Committee members are elected at the Annual General Meeting (AGM) and hold office for one year. 5.4 If a Committee member resigns before their term of office expires the Committee shall make provision to appoint a Full member to fill the vacancy pending an election at a General meeting. This should take place within three weeks. 5.5 The Committee have the power to appoint up to four members. 5.6 The Committee shall have the power to appoint appropriate sub-committees. 6. Executive Committee Meeting 6.1 The Committee shall meet regularly within the term of office, where programmes of the Society are administered, planned and reviewed. The meeting shall be chaired by the President or in case of his/her absence by the Vice President. 6.2 Any committee member who fails to attend three consecutive committee meetings without offering a written explanation to the secretary shall be deemed to have resigned and there shall be a vacancy. 6.3 The quorum for a committee meeting shall be 51% of the elected officers which can be called by any member of the committee notifying the secretary, who will give at least two days notice. 6.4 An Executive meeting can be called by the President or by 51% of the Committee by writing to the secretary, who will give at least four days notice. 7. Role of the Executive Committee Members 7.1 President: 7.1.1 Shall have served on the Committee for a minimum of one year; 7.1.2 Shall be in overall charge of the Society; 7.1.3 Shall provide leadership; 7.1.4 Shall ensure that the Societys aims and objectives are met; 7.1.5 Shall be spokesperson of the Society; 7.1.6 Shall preside at all Executive meetings; 7.1.7 Shall have overall charge of the prayer rooms. 7.2 Vice President for men: 7.2.1 Shall assist the President in their role. 7.2.2 Shall act as the President in their absence. 7.2 Vice President for women: 7.2.1 Shall assist the President in their role. 7.2.2 Shall act as the President in their absence. 7.3 Secretary: 7.3.1 Shall be responsible for the administration of the Society, including minutes of general and committee meetings. 7.3.2 Shall convene and issue information of all general and committee meetings. 7.3.3 Shall keep record of all activities of the Society and submit a report to the AGM. 7.3.4 Shall keep an up-to-date record of all members of the Society. 7.3.5 Shall notify all members at least seven days before a General meeting. 7.3.6 Shall deal with the correspondence of the Society. 7.3.7 Shall keep a copy of the Constitution. 7.3.8 Shall produce and keep the Nomination forms for the Elections at the AGM. 7.4 Treasurer: 7.4.1 Shall be responsible for the financial affairs of the Society; collect the Societys dues. 7.4.2 Shall keep proper record and accounts of the Societys income, expenditure, assets and liabilities. 7.4.3 Shall submit a statement of account of all income and expenditure of the Society at the AGM. 7.4.4 Shall be responsible for Fund-raising. 7.4.5 Shall not be a final year student. 7.5 Other Executive Committee Members 7.5.1 Shall undertake tasks agreed by the Executive Committee. Such responsibilities shall reflect the Aims and Objectives of the Society. 8. General Meeting 8.1 Annual General Meeting: 8.1.1 The Executive Committee will appoint a Chair to act as Chairman for the AGM. 8.1.2 The Annual General Meeting; AGM shall be before the end of the second semester or before the end of third week after the Easter Break, and shall include the election of the Executive Committee. 8.1.3 The Secretary shall inform all members of the time and venue of the above mentioned, in writing, at least two weeks in advance. 8.1.4 If less than one third of the membership request in writing seven days before the meeting that the meeting be postponed, a new date shall be fixed, unless this is impossible before the end of term. In addition to the election, the agenda of the AGM shall include: An account of the Societys Activities of the previous year A report of the societys financial situation of the previous year. Nominations and Voting: Nominations: Full members of the Society can nominate and be nominated for positions on the Executive Committee. Nomination of a member requires a Proposer and a Seconder. Nomination must be received a week prior to the AGM. Voting: Full and Associate members have the right to vote. Votes may only be cast by those members present at the meeting. During the AGM, all members will be given a voting card. The nominee with the highest votes will be elected for the position. If only one person is nominated then they will be appointed without a vote. Extraordinary Meetings: Extraordinary meetings can be called if one third of the committee or 34% of members request it. 8.3 Executive Committee End of Term: 1. The Executive Committees term in office will terminate at the end of academic year. 9. Bank Account 9.1 The bank account of the society will be University of Abertay Dundee Student's Association Islamic Society. 9.2 Any cheques issued by the Society must be a signed by the Treasurer and one of the Vice President, Secretary from the Association. 10. Amendments to the Constitution 10.1 The Constitution may only be amended at the AGM or at an Extraordinary meeting called for the purpose, 10.2 Amendments to the Constitution must be passed by two thirds of those present at the General meeting or by 51% of the membership, whichever is higher. 10.3 This Constitution hereinafter should be in accordance to the Associations Constitution and by-laws. 11.
